At Torres Travel Company, we understand that travel plans sometimes change. Our goal is to handle cancellations, changes, and refunds fairly while recognizing that many travel arrangements require advance reservations and payments to hotels, transportation companies, rail operators, guides, and other independent providers.

Because every Copper Canyon journey can be different, the specific cancellation, payment, and refund conditions applicable to your trip will be provided in your Travel Agreement, itinerary, quotation, booking confirmation, or other written reservation documents before your trip is confirmed.

The following policy establishes our general cancellation and refund terms.

Your Travel Agreement

Many Torres Travel Company tours are customized according to the traveler’s dates, destinations, accommodations, transportation, activities, and group size.

For this reason, specific terms may vary from one reservation to another.

Before confirming your trip, you may receive a Travel Agreement or written booking confirmation describing important details such as:

  • Deposit requirements
  • Final payment due dates
  • Cancellation deadlines
  • Refund eligibility
  • Non-refundable reservations
  • Hotel cancellation requirements
  • Train or transportation policies
  • Group reservation requirements
  • Special activities or excursions
  • Other conditions specific to your itinerary

The terms specified in your individual Travel Agreement or booking confirmation take precedence over the general provisions of this website policy when they differ.

We encourage every traveler to review these terms carefully before making a deposit or final payment.

Deposits

A deposit may be required to confirm a tour, customized itinerary, hotel reservation, transportation service, or other travel arrangement.

The amount of the required deposit will be disclosed before the reservation is confirmed.

Some deposits may be refundable for a limited period, while others may become partially or completely non-refundable once Torres Travel Company has committed funds to hotels, transportation providers, rail services, guides, attractions, or other suppliers.

The applicable conditions will be provided with your reservation.

Final Payment

The balance of your trip must be paid according to the payment schedule stated in your Travel Agreement or booking confirmation.

Failure to make the required payment by the specified deadline may result in cancellation of the reservation.

If a reservation is canceled because payment was not received when required, any refund will be determined according to the cancellation terms applicable to that reservation and any non-refundable expenses already incurred.

Cancellations by the Traveler

If you need to cancel your trip, please contact Torres Travel Company as soon as possible.

Cancellation requests should be submitted in writing whenever possible so that the date of cancellation can be documented.

Refund eligibility will depend on factors including:

  • How far in advance the cancellation is received
  • The terms of your Travel Agreement
  • Payments already made to third-party providers
  • Hotel cancellation policies
  • Train or transportation ticket restrictions
  • Guide and excursion reservations
  • Group booking commitments
  • Non-refundable tickets or services
  • Administrative or planning expenses already incurred

Generally, the earlier a cancellation is received, the greater the possibility that some travel expenses can be recovered.

Non-Refundable Travel Arrangements

Certain travel services may become non-refundable once booked or purchased.

These can include, depending on the itinerary:

  • Train tickets
  • Airline tickets
  • Certain hotel reservations
  • Private transportation
  • Special-event reservations
  • Admission tickets
  • Private guides
  • Excursions and activities
  • Group reservations
  • Specially arranged services

When a third-party provider considers a payment non-refundable, Torres Travel Company generally cannot refund that portion of the trip unless the provider issues a refund to us.

We will identify significant non-refundable arrangements whenever reasonably possible before confirming your trip.

Customized Itineraries & Planning

Customized Copper Canyon trips may require significant planning and coordination before the travel date.

This can include arranging transportation, accommodations, guides, train travel, excursions, and other services across multiple destinations.

Any planning, reservation, administrative, or service fees identified as non-refundable in your Travel Agreement will remain non-refundable after the applicable cancellation period.

Refunds

When a refund is due, Torres Travel Company will process the refundable portion of the reservation after applicable cancellation charges and non-refundable expenses have been determined.

Refund amounts may be reduced by:

  • Non-refundable deposits
  • Supplier cancellation charges
  • Non-refundable tickets
  • Hotel penalties
  • Transportation charges
  • Reservation or administrative fees disclosed in advance
  • Services already provided
  • Other non-refundable expenses associated with the reservation

Refund processing times may vary, particularly when Torres Travel Company must first receive funds back from a hotel, transportation company, rail operator, or other third-party provider.

Approved refunds will generally be returned using the original payment method when reasonably possible.

Changes Requested by the Traveler

We understand that travelers sometimes need to change dates, accommodations, activities, or other parts of an itinerary.

Torres Travel Company will make reasonable efforts to accommodate requested changes.

Changes are subject to availability and may result in additional costs.

Any fees, rate differences, cancellation penalties, or other expenses resulting from a traveler-requested change are generally the responsibility of the traveler.

Changing travel dates may also result in different hotel rates, transportation costs, seasonal pricing, or tour prices.

No-Shows & Unused Services

If a traveler does not arrive for a confirmed tour or service and has not canceled according to the applicable terms, the reservation will generally be considered a no-show.

No-shows are normally non-refundable.

Refunds are also generally not provided for services voluntarily missed or unused after a trip has begun, including unused hotel nights, transportation, meals, excursions, activities, or other included services.

Exceptions may be considered when required by applicable law or when a third-party provider agrees to issue a refund.

Late Arrivals

Travelers are responsible for arriving at designated meeting points, hotels, train stations, transportation pickup locations, and other scheduled activities at the appropriate time.

Torres Travel Company cannot guarantee that missed transportation, tours, activities, or reservations can be rescheduled.

Additional costs resulting from a late arrival may be the responsibility of the traveler.

Chepe Train Tickets & Rail Travel

Many Copper Canyon itineraries include travel aboard the Chepe train.

Train schedules, fares, ticket conditions, cancellation policies, and refund rules are established by the applicable rail operator and may change.

Once a train ticket has been purchased, it may be subject to the rail operator’s cancellation and refund restrictions.

Torres Travel Company cannot guarantee a refund for a train ticket when the rail operator considers that ticket non-refundable.

Hotels & Third-Party Providers

Hotels, transportation companies, guides, attractions, and other travel providers may maintain their own cancellation and refund policies.

When Torres Travel Company makes a reservation with an independent provider on your behalf, the provider’s applicable cancellation terms may become part of your reservation.

We will make reasonable efforts to recover refundable amounts when a trip is canceled, but we cannot guarantee the return of money that an independent provider considers non-refundable.

Weather & Natural Conditions

Copper Canyon is a large mountainous region, and weather and natural conditions can occasionally affect transportation, roads, activities, and itineraries.

Normal changes in weather, temperature, visibility, or seasonal conditions are generally not grounds for cancellation or a refund.

If severe conditions make a scheduled activity impractical or unsafe, Torres Travel Company will make reasonable efforts to modify the itinerary, reschedule the activity, or provide an appropriate alternative when possible.

Cancellations or Changes by Torres Travel Company

In the uncommon event that Torres Travel Company must cancel a service that we directly provide, we will make reasonable efforts to offer one of the following, depending on the circumstances:

  • A comparable alternative
  • A rescheduled service
  • A travel credit
  • A refund of the applicable amount paid for the canceled service

If an independent provider cancels a service, any refund may depend upon the amount refunded by that provider.

We will work with travelers to find reasonable alternatives whenever possible.

Circumstances Beyond Our Control

Certain events may occur that are outside the reasonable control of Torres Travel Company.

These can include severe weather, natural disasters, fires, floods, road closures, strikes, transportation disruptions, government actions, civil disturbances, public health emergencies, infrastructure failures, or similar extraordinary events.

When these circumstances affect a trip, Torres Travel Company will make reasonable efforts to modify or reschedule affected services.

Refunds, credits, or alternative arrangements will depend on the circumstances, expenses already incurred, applicable supplier policies, the individual Travel Agreement, and applicable law.

Travel Insurance

We strongly encourage travelers to consider purchasing appropriate travel insurance, particularly for customized, multi-day, international, or higher-value trips.

Depending on the policy selected, travel insurance may provide protection for certain unexpected circumstances involving trip cancellation, interruption, delays, baggage, medical emergencies, or other covered events.

Travel insurance is provided by independent insurance companies and is subject to the terms, conditions, exclusions, and coverage limits of the policy purchased.

Credit Card & Payment Processing Fees

If a payment processor, bank, or other financial institution charges a transaction, currency conversion, international payment, or similar fee, that fee may not be refundable by Torres Travel Company.

Any applicable payment-related charges will be handled according to the terms disclosed at the time of payment and applicable law.

Group Tours & Special Reservations

Group tours, private groups, special events, and reservations requiring multiple rooms, vehicles, guides, or other advance commitments may have different cancellation requirements.

These conditions will be specified in the applicable Travel Agreement or booking confirmation before the reservation is finalized.

How to Request a Cancellation

To cancel or request a change to an existing reservation, contact Torres Travel Company as soon as possible.

Please include:

  • Name of the person who made the reservation
  • Tour or reservation information
  • Scheduled travel dates
  • Requested cancellation or change

We will review your reservation and explain any applicable refund, credit, cancellation charge, or alternative available under your Travel Agreement.

Relationship to Your Travel Agreement

This Cancellation & Refund Policy provides the general policies of Torres Travel Company.

Your individual Travel Agreement, quotation, itinerary, invoice, or booking confirmation may contain additional or more specific terms based on the particular services included in your trip.

If a specific cancellation or refund provision in your Travel Agreement differs from this general policy, the specific written terms agreed to for that reservation will apply, subject to applicable law.

Changes to This Policy

Torres Travel Company may update this Cancellation & Refund Policy as our services, supplier requirements, or applicable regulations change.

The policy applicable to a confirmed reservation will generally be the policy and specific Travel Agreement in effect when the reservation was made, unless otherwise agreed or required by law.
